This sounds obvious, but it is the step most commonly rushed. Custom embroidery generally takes around two weeks from proof approval to delivery, so count backwards from your event date and build in a buffer for artwork approval, courier delays and any last minute changes to quantities. If your logo has a lot of fine detail, a simplified version with bold outlines usually embroiders more cleanly. Expo floors and event grounds are visually busy, with dozens of competing brands, banners and signage. A cap in your primary brand colour, rather than a safe black or navy, will help your team be spotted quickly by people looking for your stand. If your brand colours are more muted, consider a contrasting embroidery thread colour on a neutral cap body so your logo still pops from a distance.
This is non negotiable for event merchandise, where there is no time to reorder if something is wrong. Every order goes through an online proof or mockup stage so you can check logo placement, thread colours, cap colour and sizing before anything goes into production. Use this step properly. Check spelling, check colour codes against your brand guidelines, and check that the logo is centred and sized the way you expect.
If caps are for your own staff, collect sizes in advance rather than guessing. If they are giveaways for visitors, an adjustable snapback or strapback style removes the sizing question altogether and is generally the safer choice for high volume events where you cannot fit each person individually.
